Overview
Properties are the foundation of your GuestLoop account. Each property represents a vacation rental you manage and gets its own digital guidebook, unique URL, QR code, and guest database. This guide covers creating, editing, and managing your properties.

Understanding Properties
What is a Property?
A property in GuestLoop represents a single vacation rental unit:
- Apartment
- House
- Condo
- Room (if rented separately)
- Villa
- Cabin
- Any bookable accommodation
One Property = One Guidebook
Each property you create gets:

Trial (14 Days)
- Up to 3 properties for testing
- Full feature access
- No credit card required
Growth Plan ($29/month)
- 1-3 properties maximum
- Perfect for solo hosts or small portfolios
- 150 SMS/month, 3 team members, 1 translation
Business Plan ($79/month)
- 4-10 properties maximum
- Great for growing portfolios
- 500 SMS/month, 5 team members, 5 translations

What Happens at Limit?
When you reach your plan's property limit:
- "Add Property" button shows upgrade prompt
- Cannot create additional properties
- Existing properties work normally
- Upgrade anytime to add more
Creating Your First Property
Step 1: Navigate to Properties
- Click Properties in the left sidebar
- You'll see your properties list (empty at first)
- Click "Add Property" button (top right)
Step 2: Enter Property Details
Basic Information:
Property Name (Required)
- Examples: "Beachside Cottage", "Downtown Loft", "Mountain Cabin #3"
- Keep it descriptive and unique
- Used in guidebooks, URLs, and bookings
- Can include numbers and special characters
- 50 characters max recommended
Property Address (Required)
- Full street address
- City, State/Province
- ZIP/Postal code
- Country
- Shown to guests in guidebook
Property Type (Required) Choose from:
- 🏠 House
- 🏢 Apartment
- 🏨 Hotel Room
- 🏘️ Condo
- 🏔️ Cabin
- 🏖️ Villa
- 🏕️ Other
Description (Optional but Recommended)
- Brief overview of your property
- 2-3 sentences
- Highlight unique features
- Examples:
- "Cozy 2-bedroom cottage steps from the beach with ocean views and private hot tub"
- "Modern downtown loft with floor-to-ceiling windows and rooftop access"
Step 3: Add Essential Details
WiFi Information
Network Name (SSID)
- Exact name of your WiFi network
- Case-sensitive
- Example: "MyVacationRental-WiFi"
WiFi Password
- Your actual WiFi password
- Case-sensitive
- Auto-fills in guidebook WiFi section
- ⚠️ Make sure it's correct! Most common guest question
WiFi Tips:
- Use a guest network if available
- Consider a simple, memorable password
- Document exact capitalization and special characters
Bedrooms & Bathrooms
- Number of bedrooms (select from dropdown)
- Number of bathrooms (select from dropdown)
- Helps guests know what to expect
- Used in analytics
Maximum Guests
- How many people can stay
- Important for occupancy rules
- Used in booking management
Step 4: Set Check-In/Check-Out Times
Check-In Time
- Standard format: 3:00 PM or 4:00 PM
- Some hosts do flexible/self-check-in
- Displayed in guidebook
Check-Out Time
- Standard format: 10:00 AM or 11:00 AM
- Clearly communicated to guests
- Displayed in guidebook
Step 5: Add Property Photos (Optional)
Hero Image
- Main photo displayed at top of guidebook
- Recommended size: 1920x1080px
- Shows on QR code print page
- First impression for guests
Additional Photos
- Gallery of property images
- Interior, exterior, amenities
- Drag to reorder
- Up to 20 photos
Photo Tips:
- Use high-quality images
- Good lighting
- Clean, staged rooms
- Show key amenities
- Compress for fast loading
Step 6: Save Your Property
- Review all information
- Click "Create Property" or "Save Property"
- Property appears in your Properties list
- Guidebook is automatically created with default sections
Viewing Your Properties
Properties List Page

Each property card shows:
Header:
- Property name
- Full address
Property Type Badge:
- Icon showing type (house, apartment, etc.)
Action Buttons:
Primary Actions:
- Edit Guidebook (purple button) - Opens guidebook editor
- QR - Generates/views QR code
Secondary Actions:
- Edit Property - Modify property details
- 👥 Team - Manage team access (Starter+)
- Delete - Remove property (careful!)
Footer:
- View Guest Link → - Opens public guidebook URL
Editing Property Information
To Edit a Property:
- Go to Properties page
- Find the property
- Click "Edit Property" button
- Update any field
- Click "Save Changes"
What You Can Edit
Always Editable:
- Property name
- Address
- Description
- WiFi credentials
- Check-in/check-out times
- Bedroom/bathroom count
- Maximum guests
- Photos
Cannot Be Changed:
- Property ID (used in URLs)
- Creation date
Property Settings (Advanced)
Each property has additional settings accessible via the Settings icon:
Branding & Design (Starter+ Only)
Custom Logo
- Upload your property logo
- Shows in guidebook header
- Recommended: 400x400px, transparent PNG
Brand Colors
- Primary color: Main accent color
- Secondary color: Buttons and links
- Matches your brand
Theme Selection
- Light or dark mode
- Font choices
- Button styles
Referral Settings (Starter+ Only)
Referral Program Configuration:
- Enable/disable referrals per property
- Set reward thresholds (e.g., 3 referrals = $50 off)
- Customize referral messages
- Track performance
Team Access (Starter+ Only)
Team Management:
- Invite team members
- Set property-specific permissions
- View: Can see property details
- Edit: Can modify guidebook
- Manage: Full control
Deleting a Property
⚠️ Warning: This Cannot Be Undone!
Deleting a property will:
- ❌ Delete the guidebook
- ❌ Remove all bookings
- ❌ Delete guest data (emails still in main database)
- ❌ Break QR codes
- ❌ Invalidate booking URLs
- ❌ Remove team access
When to Delete
✅ Delete If:
- Selling the property
- No longer managing it
- Created by mistake
- Duplicate property
❌ Don't Delete If:
- Temporarily not renting
- Just updating information
- Having technical issues
How to Delete
- Go to Properties page
- Click "Delete" button on property card
- Confirm by typing property name
- Click "Yes, Delete Property"
- Property immediately removed
Better Alternative:
Instead of deleting, you can "deactivate" a property (keep data but hide from active use) - Coming soon!
Property Organization Tips
Naming Conventions
For Multiple Properties:
Use consistent naming:
- ✅ "Beach House A", "Beach House B", "Beach House C"
- ✅ "Downtown Loft 1", "Downtown Loft 2"
- ✅ "Mountain Cabin - Sunrise", "Mountain Cabin - Sunset"
Avoid:
- ❌ "Property 1", "Property 2" (not descriptive)
- ❌ "Rental", "House", "Apt" (too generic)
- ❌ Using only numbers (hard to remember)

For Pro users managing many properties:
- Group by location
- Group by property type
- Custom tags and filters
- Bulk operations
Common Property Scenarios
Scenario 1: Multi-Unit Building
Question: I have 5 units in one building. One property or five?
Answer: Create 5 separate properties if:
- Each unit has different WiFi
- Different check-in instructions
- Separate bookings per unit
Create 1 property if:
- Shared guidebook info
- Same WiFi and rules
- Just tracking occupancy
Scenario 2: Same Property, Different Seasons
Question: My cabin has winter and summer setup. Two properties?
Answer: One property with seasonal guidebook sections:
- Add "Winter Activities" section
- Add "Summer Activities" section
- Update seasonally as needed
- Keep same QR code
Scenario 3: Property Manager with 50+ Properties
Question: Is GuestLoop right for me?
Answer: GuestLoop Business plan supports 4-10 properties. For 11+ properties, contact us for custom pricing and features:

Problem: Can't Add More Properties
Solution:
- Check your plan limit
- Trial: 3 properties max
- Growth: 3 properties max
- Business: 10 properties max
- Upgrade plan to add more
Problem: Property Not Showing
Solution:
- Refresh the page (Ctrl+F5)
- Check if accidentally deleted
- Contact support if missing
Problem: WiFi Password in Guidebook is Wrong
Solution:
- Go to Properties page
- Click "Edit Property"
- Update WiFi password
- Save
- Change reflects immediately in guidebook
Problem: QR Code Links to Wrong Guidebook
Solution:
- Delete old QR code image
- Go to property's QR code page
- Download new QR code
- Reprint and replace
Frequently Asked Questions
Q: Can I change a property name after creating it?
A: Yes! Edit anytime. The URL stays the same, but the displayed name updates everywhere.
Q: What happens to bookings if I delete a property?
A: All bookings for that property are deleted. Export booking data first if you need to keep it.
Q: Can I transfer a property to another GuestLoop account?
A: Not directly. Contact support for property transfers between accounts.
Q: Is there a property template feature?
A: Not yet, but coming soon! You'll be able to duplicate properties with all settings.
Q: Can I have the same property on multiple accounts?
A: No. Each property can only exist in one GuestLoop account. Use team members for shared access instead.
Q: Do I need a separate property for each bedroom in a house?
A: No. One property = one rental unit. If you rent the whole house, it's one property.

1. Complete All Fields
Properties with complete information:
- Look more professional
- Reduce guest questions
- Improve guest experience
- Enable all features
2. Keep WiFi Current
The #1 guest question is always WiFi:
- Update immediately if password changes
- Test that it works
- Include backup network info
3. Use High-Quality Photos
Great photos:
- Set proper expectations
- Reduce guest disappointment
- Increase booking appeal
- Professional appearance
4. Review Quarterly
Set a reminder to review every 3 months:
- Update seasonal info
- Check contact details
- Refresh photos
- Update recommendations
5. Test the Guest Experience
Regularly:
- Scan your own QR code
- View your guidebook as a guest
- Check for outdated info
- Fix any broken links
